Kommo AI: Setting up, limits, and pricing

Kommo AI offers a variety of features to enhance your business communication. Most of these features work right out of the box, with one exception: Suggested Reply. To use this feature, you'll need to upload relevant business information that the AI can use as a data source for generating responses. This guide will walk you through the setup process.

Note: Kommo AI only works with texts in the same language as the user interface. Right now, it supports Russian, Spanish, Portuguese, and English.

Setting up Kommo AI Replies

Uploading Sources

Currently, Kommo allows you to upload data via three different methods:

  • Inserting URLs
  • Uploading text files (PDF, DOC, or DOCX, up to 45 MB)
  • Entering text directly

To get started: Navigate to Settings > Communication Tools > AI Suggested Replies. Turn on the feature by toggling the switch next to the title.

Adding a URL

To use URL as a source, follow these steps:

  1. Click the + Add new knowledge source button and select the URL type of source.

  1. Paste the link containing the data you need (e.g., to provide information on Kommo, use https://www.kommo.com/).

  1. Choose whether to use a specific page or all connected webpages as sources.

Note: A single URL source can contain up to 1500 web pages. Some pages may not be available for parsing, like those hidden behind JavaScript, requiring login credentials, CAPTCHA verification, or document links.

If the URL is incorrect or unavailable, Kommo will notify you:

Uploading text files

To upload text files to use it as a source, follow these steps:

  1. Select Text file as the source type.

Note: Currently, only PDF, DOC, and DOCX formats are available, with a maximum size of 45 MB.

  1. Choose the file's language.

  1. Click + Upload file and select a file from your device.
  2. Save the source.
  3. Wait for the document to upload (this can take up to 2 hours depending on the size of your source).
  4. Name your source or use the default name. The system will collect data, and the source will appear on the list for AI use.

Entering text

To enter plain text and use it as a source, follow these steps:

  1. Select the Text option.

  1. Choose the source's language. A modal will appear.
  2. Enter the required text and name the source. Turn on the Use this subsection in answer toggle

  1. Click Save.

Note: You cannot save a new source without entering text.

After setting up your sources, you can start using Kommo AI Suggested Reply to generate responses to client messages.

Managing sources

Once uploaded, sources are divided into subsections.

Note: Kommo AI can only process text, not images.

To view subsections:

  1. Open the following modal by clicking on the name of any source:

The modal contains the following columns:

  1. Subsection: Lists the subsections of the sources.
  2. URL: Displays the URL of the source, if available.
  3. Times Used: Indicates how many times a particular source has been used in Suggested Reply. It helps you understand which sources are most relevant or frequently needed in your communications, allowing you to prioritize or update these key resources.
  4. Language: Shows the language of the source.
  5. Last Update: The date and time of the most recent update.

There’s also a Search and Filter field for searching and sorting sources by titles and URLs.

Note: If the system misses a subsection during parsing, you can add it using the Entering Text upload method.

Subsections are further divided into paragraphs based on document formatting. Each header must be formatted in 14-point bold font to act as a separator between specific topics. The text under these headers, written in 12-point font, will be used as the information source for the Suggested Reply feature. You can use any type of font.

Clicking on sections’ or paragraphs’ checkboxes allows you to either delete or disable the subsection. If you click the Turn off toggle, the subsection will not be used in the Suggested Reply feature. Once disabled, the toggle will change to Turn on in case you want to re-enable the section later.

Updating sources

Depending on the type of the source, there are several ways to update one:

  1. Text file: Upload a new file to replace the old one.
  2. URL source: Click the Update to fetch the latest version of the website.
  3. Text: Open the source, make changes, then click Update (next to the Save button).

Note: If an error occurs during this process, the original file will not be changed.

Testing AI

Don’t have a data source ready for upload? To help you start using Kommo AI Suggested reply, we offer a customizable template. You can use it to create your own data source or to simply test-drive the system.

The template is available in all system languages:

  1. English
  2. Portuguese
  3. Spanish
  4. Russian

You can find it in the Choose a source type modal while uploading files, next to the Upload file button:

To use the template:

  1. Open the document and make a copy.
  2. Replace the placeholder information with your own business details to see how the AI handles specific queries. If you just want to test the feature, you can use the document as is.
  3. Upload the document to Kommo AI.
  4. Interact with Kommo AI Suggested Reply to see how it generates responses based on the information provided.

Note: Keep the correct formatting while customizing the template. Headers should be in 14-point bold font, with the text below in 12-point font as the information source for the Suggested Reply feature.

Kommo AI limits and pricing

Enterprise, and Trial accounts can use Kommo AI for free. Kommo AI is NOT available for Base and Advanced plans. To ensure fair access and prevent system abuse, usage limits apply.

Personal limits

Enterprise tier accounts: 10,000 requests per month. Limits reset every 30 days from the time of first use.

For example, if you first use Kommo AI at 12 AM on April 27th, 2024, your limits will reset on May 28th, 2024, same time. Be aware that the exact reset time might vary slightly due to technical factors. However, we’ve designed our system to ensure these small variations won’t negatively impact your experience or access to Kommo AI.

Note: Limits apply only to features accessed through lead cards. Requesting AI to search through sources does not count towards these limits. Kommo AI may require anywhere from zero to several requests per use, depending on how extensive your knowledge sources are.

Trial accounts: 100 requests per month. If you switch to a different account type, the limit resets 30 days after the first signup.

Note: Once you reach any of these personal limits, you can contact Support to reset this limit. Currently, there are no restrictions on the number of times you can reset these limits, and it is completely free to do so.

Global limits

These limits apply to all Kommo users to prevent system overload:

Daily global limits: If too many requests are made in a day, access to AI features will be blocked until resolved.

Monthly global limits: If too many requests are made in a month, access will be blocked for the rest of the month or until resolved.
