There are lots of reasons you might encounter duplicates: you forget that you already created a lead, a new lead is created by an automation, and the list goes on.
It’s crucial to keep your data clean so that the info you need is in front of you… not in some other lead card. Luckily Kommo has built-in duplicate detection, so you’re alerted and given the chance to merge the repeated info.
How to merge duplicates
Leads that Kommo suspects of being duplicates are marked with a hot pink “Duplicate?” tag.
In order to deal with the duplicate, click on the tag. This will open a window where you can see the duplicate data side-by-side.
From here, you will select which data from each lead to keep after the two are merged. Let’s take a close look:
- The left and central panels are the duplicate leads in question
- The fields which are highlighted in white represent the fields selected to be used in the final result
- The right panel contains a preview of the final result after the merge
- The “merge” button performs the merging action
- The “ignore” button will close the window and stop asking you whether these leads are duplicates
- The “cancel” button closes this window
Check for duplicates
If you want to search for duplicates, it’s easy. Just go to the Leads section, click on the “...” icon and select “Find duplicates”.
Just like when you merge duplicates from the lead card (see above), you will encounter a window where you can specify how to merge duplicate data.
Use the radio buttons to select the data to be saved in the final merged result. A preview of the resulting lead is visible in gray on the right.
- The “merge” button performs the merging action
- The “do not take” button will not merge these leads and go to the next pair of duplicates
- The “cancel” button closes this window
Unmerging leads
If you merge two leads accidentally, don’t worry, you can always unmerge them.
- Open the lead that was created as a result of the merge
- Look in the feed for a note about the merge
- Click the “cancel” button inside this note
And that’s it! Now you know how to deal with duplicate data!
